POSITION TITLE: Business Manager
POSITION TYPE: Part Time (0.4 FTE)
LOCATION: Carmelite Priory, 75 Wright St Middle Park 3206
REPORTS TO: Prior Provincial and Provincial Bursar
GENERAL DESCRIPTION OF ROLE
The Business Manager’s role is to manage the business and operational needs of the Carmelite Order which includes CFIV and Carmel Impact. The Business Manager’s responsibilities include:

• Legal requirements
• Human Resources
• Investment Portfolio
• Strategic Planning
• Property and Fixed Asset maintenance
• Risk management including insurance and compliance
• Oversee the Timor-Leste mission
MAIN DUTIES/RESPONSIBILITIES:
Financial Management
• Prepare Annual Budgets
• Produce financial reports for the Finance Commission and Provincial Council
• Approve payment of invoices
• Monthly Instalment Activity statements and quarterly BAS returns
• Authorise transfer of monthly funds to Timor-Leste
• Prepare annual financial reports for ACNC, ASIC and Curia requirements
• Financial reporting for Carmelite Centre and Library as required
• Monitor the liabilities that Province has for Whitefriars College
• Analyse community financial reports
• Auditing the Lay Carmelite Annual Financial report
Legal Requirements
• Liase with legal firms in regards to any legal issues that arise from time to time
• Ensure legal requirements are complied with
Human Resources
• Oversee the payroll function
• Maintain personnel files
• Annual staff reviews
• Ensure employment conditions are compliant with industry standards
• Develop and implement policies and processes
• Resolve staff issues or concerns in consultation with the Provincial
• Assist Carmelites with their individual needs eg Centrelink as required
Investment Portfolio
• Meet with investment managers on a quarterly basis
• Monitor performance of investments
• Ensure investments are compliant with Investment policy
• Manage the cashflow requirements of the Carmelites to ensure suppliers can be paid as required
Strategic Planning
• Produce long term financial cashflow forecasts
• Assist Prior Provincial with identifying strategic options and their financial impact
Property and Fixed Asset maintenance
• Manage capital purchases including motor vehicles
• Oversee the management of the Page St apartments
• Initiate meetings with Property Committee as required
• Ensure buildings are properly maintained
Risk Management
• Ensure adequate insurance coverage for property, branding, IT and personnel risks
Timor-Leste Mission
• Manage the operational and funding requirements of the Carmelite missions in Timor-Leste
• Ensuring the new ministry is financially viable and appropriately resourced
• Ensure the T-L Foundation is compliant with all T-L Government requirements
SKILLS & EXPERIENCE
Qualifications:
• Bachelor of Business – Finance/Accounting
• CPA qualified
• Working with Children Check
• Police Check
Experience:
Having worked previously in a not for profit environment for at least 4 years as a financial and/or business manager. Past experience of implementing a project in a 3rd world country would be an advantage.
Skills:
• Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
• Working knowledge of MYOB
• Excellent verbal and written communication
• Organised and able to meet deadlines
• Be able to have some flexibility with time
PERFORMANCE GOALS:
• Comply with the Code of Conduct and Safeguarding requirements at all times.
• Complete administration tasks within timeframes specified with minimal errors.
• Deal with the Carmelites, clients, suppliers and other employees professionally at all times
• Produce financial management reports within 10 working days of the end of month.
