Job Description

The role of the Administrative Officer is to support the work of the Province Secretary. The Province Secretary oversees the operations of the Province Centre, is accountable to the Provincial Superior, and works closely with him.

The MSC Province Centre is in Coogee and the job is a full-time position.

KEY RESPONSIBILITIES:

  • Assist with the preparation of agendas and papers for meetings;
  • Setting out letters for the Provincial Superior and sending them via post and email
  • Organise and file correspondence, reports, returns.
  • Respond to requests for information.
  • Follow established procedures to document various permissions and activities in the Province.
  • Ensure each member has certain updated documents on file.
  • Assist in the management of the Provincial Superior and Province Secretary’s calendar.
  • Respond to incoming phone calls and emails, welcome visitors to the Province Centre.
  • Maintain the Province Directory.
  • Arrange flight, vehicle rental and accommodation bookings.
  • Oversight/monitor Working with Children Checks (WWCCs) .
  • Support MSC Priests in applying for faculties for various archdioceses.

ESSENTIAL QUALITIES:

  • Understand and support the mission, values, and ethos of the Missionaries of the Sacred Heart.
  • Act with tact and discretion and maintain confidentiality.
  • Sound organisational skills with the ability to multi-task and priorities deadlines.
  • Proficient with Microsoft Office (SharePoint, Excel, Word).
  • High attention to detail and accuracy when handling sensitive data and records.
  • Work autonomously and collaboratively and be self-motivated in generating one’s work.
  • Excellent interpersonal skills.
