About Loreto Sisters

The Congregatio Jesu, also known as Loreto Sisters, is a Catholic congregation founded by Mary Ward and has established communities and schools across the world. Within our Province, the sisters are located across Australia, Philippines, Timor-Leste and Vietnam. The office, the Loreto Centre where the majority of staff are located, is in Hawthorn East, Victoria.  The role of Archivist is at the Loreto Archives Centre in the grounds of Loreto College Ballarat, Victoria.

We are seeking an experienced and passionate Archivist to lead the care, management and promotion of our valuable archival collections across Australia.

About the Opportunity                                                                            

The Loreto Archives Centre holds records of enduring value relating to Australian Loreto foundations, mission, ministries and members since 1875. We are committed to documenting and preserving relevant and historically significant records and artefacts and sharing the cultural heritage within networks and the wider community.

The role of Archivist is a unique opportunity that ensures records of enduring administrative, corporate, cultural and intellectual value are appropriately created, preserved, described and made accessible. The role will oversee the Loreto Archive Centre in Ballarat, Victoria while working closely with school archivists and archives across Australia to maintain consistent standards, policies and procedures.

Your Key Responsibilities

  • Appraising, arranging and describing archival records in accordance with established standards and retention requirements.
  • Managing the archival collection using SDS Archive Virtual.
  • Ensuring the safe preservation of paper, artefacts and digital records.
  • Providing research services and responding to enquiries about the collection.
  • Developing exhibitions, publications, guides and other activities that promote our history and heritage.
  • Providing records management and archival advice to staff, school archivists and other stakeholders.
  • Building strong relationships across the organisation and its international network.
  • Maintaining policies, procedures, budgets and the Archives Centre.
  • Training and supervising volunteers and staff assisting with archival activities.

This is an exciting opportunity for an archivist who combines professional archival expertise, strong stakeholder skills and a genuine interest in preserving and sharing organisational history.

This is a full-time role based at the Loreto Archives Centre in Ballarat, Victoria. Flexible, hybrid working arrangements are available. Onsite parking is available. Some interstate and intrastate travel may be required from time to time.

About You

Ideally, we are seeking people who meet the following Key Requirements:

  • Understanding of and an appreciation for the Loreto mission and values, and an ability to always uphold the ethos and values of the organisation.
  • Tertiary Qualifications in Archives and Records Management or similar.
  • Minimum 5 years relevant experience as an archivist.
  • Familiarity with digital preservation platforms e.g. Preservica, or similar.
  • Excellent communication and stakeholder engagement skills.
  • Highly effective interpersonal skills.
  • Demonstrated ability to work within a team and autonomously.
  • Ability to operate with discretion, maintain strict confidentiality and exercise sound judgement.
