Administration Assistant, Academic Record Office – Catholic Theological College

📍 East Melbourne, VIC | Part-time (3 days per week) | 12-month Fixed Term Position

Catholic Theological College (CTC) is seeking a proactive Administration Assistant to join our Academic Record Office (ARO) team on a 12-month fixed term basis.

In this role, you’ll provide vital administrative support to the College Registrar and be the first point of contact for our Learning Management System (ARK), helping students and lecturers get the most out of their learning experience.

CTC is committed to the highest standards of teaching and research in philosophy and theology, within the Catholic tradition. It collaborates in the Church’s mission to spread the Gospel and provides academic formation for people committed to the pastoral service of the Church. CTC offers a range of undergraduate and postgraduate courses, as well as opportunity for higher degrees by research.

Key Responsibilities

  • Support students and staff in navigating and using the Learning Management System (ARK).
  • Manage general admin tasks like monitoring emails, voicemails, and preparing internal communications.
  • Assist with updating academic records and maintaining accurate documentation.
  • Provide support for projects and programs as needed.
  • Handle sensitive information with discretion and confidentiality.

What You’ll Bring

  • Experience with Learning Management Systems (highly desirable).
  • Strong organisational and time management skills.
  • A team-oriented mindset and a proactive approach to problem-solving.
  • Excellent communication skills and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
