About Us
The Catholic Diocese of Broken Bay covers three geographic regions in NSW – the Northern Beaches, North Shore, and Central Coast.
The Diocese is home to 26 parishes and also supports the local community through other ministries, including education and social and community services.
We take our safeguarding and child protection responsibilities seriously and have a zero tolerance for abuse. We seek to ensure that children, young people and vulnerable adults are provided with the fundamental right to be kept safe and respected, and to respond appropriately if abuse and harm occur.
To support us in meeting our safeguarding responsibilities, we are seeking a friendly and motivated Administration Assistant to join our Safeguarding Team on a permanent, full–time basis.
About the Role
Reporting to the Safeguarding Officer – Records, you will provide exceptional general and legal administrative support to the Safeguarding Team, in particular, the Safeguarding Legal Counsel.
As well as the regular gamut of administration support, including coordinating, setting up and taking minutes of meetings; booking venues; assisting with the arrangements and catering for events; email management; facilitating requests for technology; assisting with travel arrangements; and maintaining filing systems, you will provide administrative assistance with regards to Safeguarding matters, including processing and coordinating correspondence related to Safeguarding civil matters; and preparing relevant legal paperwork and email correspondence.
You will be entrusted with confidential records and correspondence, often involving sensitive content and consequently, the position will require your commitment to confidentiality, the ability to handle emotionally challenging material with professionalism and resilience, and your work to be approached with discretion and sound judgment.
The role is a permanent, full-time role based at our office in Pennant Hills. However, for a standout candidate, consideration may be given to shorter daily working hours to meet your non-work demands.
About You

Specifically, as the ideal candidate for this role, you will meet the following Key Requirements:
- Relevant tertiary qualifications in office administration or equivalent experience
- Sound time management and organisational skills and ability to manage multiple tasks and projects simultaneously
- Strong written and verbal communication and interpersonal skills
- High level skills in contemporary computer applications including the Microsoft Office suite
- Ability to manage the demands of an environment that deals in the nuances of safeguarding and child protection
- Demonstrated commitment to service and to being a team-player
- Ability to read and process highly sensitive and confidential information with discretion and sound judgment.
