About the Seminary of the Good Shepherd

The Seminary of the Good Shepherd (Seminary) is the Catholic Archdiocese of Sydney’s inter-diocesan community of vocational discernment where men, who feel called to become priests, come for formation. The formation program is designed to help each seminarian discern his vocation by growing in his self-awareness and generosity in response to the love of Christ. The program, which continues for seven years, focuses on the formation of the human, spiritual, intellectual, and pastoral. The culture at the Seminary is supportive, community-oriented, professional and one that is genuinely interested in the people who serve. Staff are encouraged and feel part of a team, and harmoniously work together towards making a difference in the lives of the Seminarians in priestly formation.

The Seminary is seeking a dynamic Administration Manager and Executive Assistant with strong interpersonal and communication skills to provide executive level administration support to the Rector through a variety of tasks related to administration, organisation and communication.

About the Opportunity

Reporting to the Rector, your key responsibility is to assist him in his work by providing administrative and executive level support and ensuring that his time is used in the most efficient way so that he can continue his work as leader of the Seminary. In addition to the Rector, you will collaborate with a small team consisting of Seminary faculty and staff to ensure the efficient running of both administrative and organisational matters pertaining to the Seminary’s operations. This will include assisting with the management of the Seminary’s budget and maintenance of accurate financial records.

You will be a key point of contact for key stakeholders in vocations ministry both in the Archdiocese of Sydney and other dioceses within NSW. You will prepare correspondence, including writing and preparing emails, documents, ad hoc and scheduled reports and general correspondence. As a key member of staff, you will support the Rector by attending various Seminary meetings for the purpose of taking minutes and assisting with matters arising and the follow up of action items. You will assist with the keeping of records and ensuring all documents and files are maintained and kept confidential.

You will work closely with key stakeholders to promote the continued work of the Seminary with the development of the bi-annual newsletters, occasional news articles for social media content and Seminary website updates.

Record keeping and maintaining documentation in relation to WHS, safeguarding, ecclesial and civil regulatory compliance, and other professional standards is also a key aspect of this role.

Also key to this role will be your ability to maintain positive and collaborative relationships with internal and external stakeholders. Equally important will be your ability to act with a high level of discretion and sensitivity when dealing with all Seminary personnel and other stakeholders who are involved in the life of the Seminary.

This is a full-time role and based at Homebush.

About You

The Administration Manager and Executive Assistant will ideally possess the following Key Requirements:

  • An appreciation of the mission and purpose of the Seminary and an understanding of and a willingness to support the ethos, mission and values of the Catholic Church.
  • Minimum of three years’ experience in a similar role or in a role encompassing the key areas of competency for this position, e.g. reception duties, office administration, communication, bookkeeping and/or customer service.
  • Tertiary qualifications in an area that is relevant to this role.
  • Experience in managing staff and direct reports.
  • Well-developed inter-personal and communication skills, including superior written and verbal skills.
  • Excellent interpersonal skills, including tact, diplomacy, and empathy.
  • High level of discretion and ability to manage sensitive and confidential information.
  • Proven ability to manage a broad stakeholder base and to work collaboratively to achieve specific goals.
  • Proven ability to develop and maintain strong, positive and effective working relationships.
  • Working knowledge of Microsoft Office suite, i.e., Word, Excel, PowerPoint, Publisher, and Outlook.
