The Opportunity
This role offers more than just administrative support—you’ll support the head office across administration, marketing and communications, and governance coordination. As the Administration Services Officer (part-time, 4 days), you’ll play a key role in maintaining effective office operations, supporting board and committee processes, and managing digital content across multiple platforms.
What You’ll Be Doing
- Manage day-to-day office administration – shared inboxes, stakeholder correspondence, and broader support across the team
- Drive marketing and communications – manage website, social media, and coordinate quarterly newsletters
- Assist with basic graphic design and content management (e.g. Canva, image library)
- Support governance processes – maintain board and director tenure registers, coordinate communications across ministries, and assist with board and committee meetings
- Coordinate events and inductions – liaise with stakeholders, manage logistics, and track attendance
- Ensure effective management of documents, policies, and systems, including SharePoint and correspondence registers
- Support financial processes as required, including invoice entry and general AP/AR support
- Contribute to process improvements, including policy and procedure updates and operational documentation
About You!
- Extensive experience in administration / executive support (senior office all-rounder or EA background ideal)
- Strong attention to detail, particularly across documentation, governance, and coordination tasks
- Advanced experience with SharePoint (essential)
- Exposure to WordPress, Mailchimp, and/or similar platforms (highly regarded)
- Confident communication and writing skills, including preparing correspondence and meeting documentation
- Ability to work independently, prioritise tasks, and manage competing deadlines
- Proactive and self-motivated, with the ability to identify gaps and take initiative
- Comfortable working in a values-based organisation environment
