The Office of the Executive Director, Administration & Finance is seeking an enthusiastic Administrative Assistant to join our team.

About the role

Reporting to the Executive Officer (Office of the Executive Director, Administration & Finance) and working collaboratively as a team member, you will provide administrative support to assist in the efficient running of the Office.

You will carry out general administrative duties such as typing, copying, scanning, printing, collating, and binding documents; filing and archiving documents and records; assisting with calendar management and organisation of meetings; booking and managing travel arrangements; and assisting with the preparation of documents and presentations, using Microsoft Office and other applications.

Using your exceptional communication and interpersonal skills, you will respond to verbal and written enquiries from staff, parishes, agencies, service providers and other external stakeholders.

In performing your role, you will manage sensitive information in a confidential manner and act professionally as a representative of the Executive Director.

The role is a permanent, full-time role based in Leichhardt, Sydney.

About You

Your can-do attitude, flexible approach to work and service focus is key to this role, as is your ability to work both independently and as part of a small team to provide efficient and timely administration support.

As the ideal candidate, you will satisfy the following Key Requirements:

  • Experience in a similar administrative role
  • Demonstrated record of being well-organised and ability to prioritise tasks, particularly under pressure
  • Knowledge of office management systems, practices, and procedures and proficiency using contemporary workplace technology, particularly across the Microsoft suite of programs (experience in using iManage and ExpenseMe Pro would be an advantage)
  • Excellent oral and written communication and interpersonal skills, and demonstrated ability to work collaboratively and build positive relationships
  • Demonstrated ability to maintain discretion and confidentiality
  • Knowledge of, or willingness to learn, Archdiocesan structures and processes
  • Demonstrated commitment to the ethos and values of the Catholic Church.
