About the Role

The Communications Administration Assistant plays a key role in supporting the Head of Media and Communications by providing high-level administrative and clerical assistance, ensuring the smooth execution of the team’s mission and communication services. As Communications Administration Assistant, you will work closely with the Head of Media and Communications and other key stakeholders, offering efficient, confidential, and accurate support. Responsibilities include personal assistance, diary management, document preparation, and overseeing internal systems to aid communication and collaboration.

The role also involves contributing to various minor projects and team activities, such as staff development days and regular planning meetings. You will assist in developing and maintaining filing systems, managing agendas and minutes for meetings, and preparing and processing invoices and expense forms. You will ensure that all administrative tasks align with the Head of Media and Communications’ priorities and are completed with a high level of accuracy and professionalism.

You will also support communication and operational workflows by managing correspondence, coordinating travel, and liaising with team leaders on operational matters. You will be a key point of contact for all matters relating to the daily operations of the team, and directing enquiries and information appropriately. This role is essential in supporting an organised and responsive media and communications service that partners with key stakeholders across the Diocese.

Whilst this opportunity would suit someone with high-level administration experience, it may also be an attractive pathway for someone with a desire to gain experience in the area of media and communications.

At the heart of this role will be your ability to work collaboratively with various diocesan stakeholders as it relates to Mission projects, and an openness to work with the Team as it evolves and strives to meet the needs of the Diocese.

This position is a full-time role and based at Pennant Hills. Onsite parking is available.

Key Requirements

The Communications Administration Assistant will ideally possess the following knowledge, experience and qualifications:

  • An understanding of the Catholic Church, its mission and the sensitivities and nuances of dealing with various stakeholders.
  • Previous experience as an Administrative Assistant, Executive Assistant or in a role encompassing the key responsibilities of this role.
  • Experience in applying style guides to a range of communications including letters, briefing papers, agendas, reports and emails.
  • Experience in the use of document storage applications.
  • Excellent word processing, telephone, and diary management skills.
  • Experience in the drafting agendas, reviewing and collating papers for committees and meetings, providing and summarising minutes.
  • Ability to work collaboratively and consultatively across a wide spectrum of stakeholders.
  • Ability to work to tight deadlines and with minimal supervision.
