About the Role

As Executive Officer, your primary purpose is to be a trusted adviser and confidant to the Vicar General and to assist him in matters related to his leadership and ministry and in service of the broader work of mission under the authority of the Bishop.

Working collaboratively alongside other members of the Vicar General’s Office, you will provide strategic advice, research, diary management, executive assistance, meeting support, staff supervision, special projects and parish support.

Providing strategic advice and undertaking research are key elements of this role, and so you will maintain currency with trends in social policy and advocacy, and other topics of interest to the Vicar General and his priorities, and prepare background briefing notes for the Vicar General with respect to key issues of ecclesiastical and social development. Researching and producing reports and contributions to other publications for which the Vicar General is a key collaborator is a key aspect of the role.

You will maintain oversight of the Vicar General’s diary to organise meetings, travel, events, functions, liturgies and allocate the Vicar General’s time appropriately. You will manage the Vicar General’s correspondence, draft replies and ensure that all matters are dealt with in a timely manner.

You will coordinate arrangements for the Vicar General’s meetings and appointments, act as Executive Assistant on various Committees, and ensure that follow-up mechanisms are in place for actions and outcomes associated with these meetings.

You will also provide executive support to the Vicar General in his role as Parish Priest of Chatswood Parish, liaise with the various parish committees and manage processes and correspondence pertaining to Parish matters and special projects.

This is a full-time role based at the Diocese’s office at Pennant Hills. Some travel will be required for this position from time to time.

About You

You will be a seasoned professional with exceptional interpersonal and communications skills and with a natural flair for organising and supporting senior leaders.  Key to this role will be your attention to detail, your strong research and writing skills and your ability to follow-through on matters which are part of your remit.

More specifically, the Executive Officer will ideally possess the following Key Requirements:

  • Previous experience supporting senior staff in managing across the breadth of their portfolio.
  • An understanding of the Catholic Church, its ecclesial structures and mission, and its unique challenges and opportunities.
  • A personal commitment to Catholic teachings, faith, ethos, values and mission of the Catholic Church.
  • A proven record in sustaining effective relationships and maintaining effective networking across a broad range of stakeholders.
  • A demonstrated ability to achieve outcomes through well-developed relational and rapport building skills.
  • An ability to verbally express complex information and ideas in a clear and appropriate manner.
  • Demonstrable experience in writing for a wide variety of audiences.
  • Relevant tertiary qualifications that complements the Vicar General’s projects and priorities.
