ABOUT THE ROLE
St Agnes’ Catholic Parish is seeking an experienced Parish Secretary / Administration Assistant to join the Pastoral Services team, which supports the pastoral, liturgical, and community life of the parish. Working closely with the Parish Priests, the appointee will provide comprehensive administrative and operational support to ensure the smooth and efficient running of the Pastoral Office.
As a member of the Pastoral Services team, this person coordinates meetings and parish events, manages communication, logistics and parish records, and assists with and promotes liturgical services and sacramental programs. Serving as a key point of contact for the Presbytery and Pastoral Office, the Parish Secretary / Administration Assistant plays a vital role in supporting the mission and daily activities of the parish.
KEY RESPONSIBILTIES
- Serve as first point of contact for the Pastoral Office welcoming visitors and responding to phone, email, and in-person enquiries with warmth and professionalism.
- Liaise with parishioners, parish groups, parish coordinators, staff, and clergy to ensure the smooth operation of parish activities.
- Provide administrative support to the Parish Priests and oversee the day-to-day operation of the Pastoral Office
- Coordinate bookings for Baptisms, Weddings, and Funerals.
- Prepare and distribute the weekly Parish Newsletter, along with other parish communications, including bulletins, flyers, notices and event promotions.
- Maintain accurate parish records, including Baptism, Confirmation, Marriage, Deaths, volunteer data, and compliance registers.
The position will be offered to the successful applicant as a Permanent Full-Time position, working 76hrs a fortnight – 5 days a week.

WHO YOU ARE
- Commitment to work in harmony with Catholic Values and Principles
- Knowledge of and/or connection with the Catholic Church, with an understanding of sacramental practices and parish operations is highly desirable.
- Warm, welcoming, and pastorally sensitive, with a courteous and helpful manner.
- Strong administrative skills, with the ability to work independently while also collaborating effectively within a team environment.
- Excellent interpersonal and communication skills, with demonstrated experience building positive relationships within a community-focused or faith-based organisation.
- Highly organised, with strong attention to detail and accuracy in record-keeping.
- Commitment to handling personal information discreetly and maintaining confidentiality.
