Do you thrive in a professional environment where your organisational skills and attention to detail make a real difference? We are seeking a Personal Assistant (PA) to provide dedicated executive-level support to the Vicar General of the Catholic Archdiocese of Melbourne.

About the Role

This role offers a unique opportunity to work closely with senior leadership and play a key role in ensuring the Office of the Vicar General operates smoothly and efficiently. This position reports to the Senior Operating Officer, providing executive support to the Vicar General. In addition to this, the PA will provide high-level administrative, secretarial, and project support across a variety of operational and cyclical activities within the Office of the Vicar General.

Located in East Melbourne, this role is ideal for someone who enjoys working in a professional and mission-driven environment, where integrity, discretion, and efficiency are highly valued.

Key Responsibilities

  • Provide high-level confidential administrative and secretarial support, including managing the Vicar General’s schedule and travel arrangements.
  • Handle correspondence and communications efficiently, ensuring a smooth flow of information.
  • Triage and manage complaints and grievances directed to the Office of the Vicar General.
  • Establish and maintain effective record-keeping systems in both digital and paper formats.
  • Coordinate and manage meetings, including preparing documentation and distributing materials.
  • Plan and oversee events for the Office of the Vicar General, including invitations, catering, and logistics.
  • Work closely with the Executive Assistant to the Archbishop and other key stakeholders to foster a highly collaborative working environment.
  • Draft letters, reports, and other documents with a high degree of professionalism and accuracy.
  • Assist the Vicar General in managing his workflow.

You are a highly organised and detail-oriented professional who thrives in a role where discretion, efficiency, and professionalism are essential. You take pride in providing seamless support, enabling others to focus on their core responsibilities while ensuring everything runs smoothly behind the scenes. To be successful in this role, you will have:

  • Demonstrated experience in a high-level administrative or executive support role.
  • Third-level qualification in Business, Administration or a relevant field.
  • A strong understanding of administrative and secretarial systems, processes, and procedures.
  • High levels of integrity, discretion, and professionalism, with a deep understanding of confidentiality requirements.
  • Excellent interpersonal skills, with the ability to build strong relationships and communicate effectively.
  • Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Outstanding organisation and time management skills, with a proactive approach to problem-solving.
  • A commitment to the values and mission of the Catholic Church.
