About the Position
Reporting to the Executive Assistant to Leadership, the Senior Administration Officer is a key hands-on role responsible for providing timely and efficient administration support to the Institute Leadership Team and to the Executive Assistant to Leadership.
Your role will include management of databases, record keeping and filing, administration support for Institute events and to be a back-up support as required for the Executive Assistant to Leadership.
The arrangement of travel, accommodation and visas is a key component of this role. Â In collaboration with the Office Coordinator, you will assist with telephone enquiries and greet visitors.
You will be preparing papers and presentations for meetings, and coordinating in-person and video meetings including video set up, IT and catering. As required, you will be preparing and collating meeting agendas, taking minutes of meetings and following up action items from those meetings.
Central to this role will be your ability to understand and embrace the mission of the Institute, and be willing to actively support the Sisters’ purpose, vision and mission.
This position is a permanent full-time role and will be located at the Institute’s office in Stanmore, Sydney. The role will require you to undertake local travel and so a current NSW drivers’ licence will be required.
About You
Key Requirements for the role include:
- An understanding of, and an appreciation for, religious life and an openness to embrace the Institute’s mission
- Experience as a Senior Administration Officer and/or Personal Assistant/Executive Assistant
- Advanced level of competency using the Microsoft 365 suite, especially Word, Outlook and PowerPoint
- Experience with meeting platforms such as Zoom and Teams
- Excellent interpersonal and communication skills, both verbal and written
- Strong attention to detail
- Strong organisational skills with the capacity to manage competing priorities and meet deadlines
- Ability to work as part of a team
- The ability to be sensitive and discreet and hold confidentiality when required
- Hold a current NSW drivers’ licence
- Hold a current First Aid Certificate or be willing to do so.
