Job Description

  • Administration and operations focus

  • Full-time role, based in Sydney’s vibrant Eastern Suburbs

About Us

In 1838, five Sisters of Charity from Ireland arrived in Australia. They were the first religious women to come to the Colony. Their mission is to bring to all people “the love, tenderness and concern of Christ for the poor and marginalised”.

The Sisters of Charity of Australia, led by the Congregational Leader and her Council, have many mission involvements. The Congregational Office is based in Bondi Junction, Sydney and the Sisters also have a presence in other locations across Australia.

The Congregation is seeking a Community Services Coordinator to join their Sydney-based team to manage their day-to-day operations.

The Role

You will report to the Congregational Leader for work requests relating to the Sisters, and to the General Manager for administrative matters.

You will be the first point of contact at the office and be responsible for the day-to-day management and continuity of the Congregation’s services and supply including IT, telephones, vehicle fleet, property maintenance, cleaning and gardening.

You will support the Sisters within the different communities in relation to their daily living arrangements, and visit all property sites within NSW over the course of the year to ensure they are safe and fit for purpose. Leveraging on your strong relationship and negotiation skills, you will liaise with maintenance and other contractors and develop and manage the maintenance program for Congregational residential properties.

Utilising your strong organisational and administration skills, you will provide general administrative support to the Congregational Councillors and others, including typing of correspondence and documents; assistance and attendance at the Council portal meetings; preparation of reports for the Property Committee; ordering of stationery and office supplies; management of petty cash; oversight of the meeting room booking system; and management of incoming and outgoing mail. You will update and oversee the Congregational website and be responsible for the implementation of work health and safety policies and procedures, and the education of staff in these and other workplace policies and procedures.

The role is an ongoing, full-time position and is based on-site at Bondi Junction, close to shops and public transport.

About You

You will be calm, personable and organised and have a commitment to upholding the Congregation’s ethos and mission in undertaking your work.

Specifically, as the ideal candidate for this role, you will meet the following Key Requirements:

  • Substantial administration experience and experience in coordinating the day-to-day operations of an office
  • Strong service-orientation and a flexible approach to work
  • Capacity to work within, support, and communicate with committee structures
  • Excellent organisation and time-management skills and demonstrated ability to multi-task
  • Demonstrated attention to detail
  • Excellent communication (written and verbal), negotiation, and relationship-building skills; and demonstrated ability to work collaboratively with others
  • Strong IT skills, especially in database management, Microsoft Office suite and meeting portals
  • Knowledge of work health and safety legislative requirements
  • Current NSW driver’s licence, and ideally, access to a fully insured and maintained motor vehicle.

What’s on Offer?

  • The opportunity to support a purposeful, mission-based organisation
  • On-site parking
  • An attractive salary commensurate with experience.
