Aboriginal Catholic Ministry Victoria (ACMV) is seeking a welcoming and highly organised Administration Assistant to support the day-to-day operations of our Centre in Thornbury. This rewarding role combines administration, community engagement and event support, helping to strengthen connections with Aboriginal and Torres Strait Islander Catholics across Victoria.

Working closely with the Coordinator and Engagement Officer, you will play an important role in creating a culturally safe, inclusive and hospitable environment while supporting programs, gatherings, education activities, communications and initiatives that celebrate faith, culture and community. This is an excellent opportunity for a proactive administrator who is passionate about people, values meaningful work and wants to contribute to the mission of ACMV.

About the Aboriginal Catholic Ministry Victoria

Aboriginal Catholic Ministry Victoria (ACMV) is a ministry of the Catholic Archdiocese of Melbourne; that supports, forms and presents the voices of Aboriginal Catholic people of Victoria to the wider Catholic Church community. ACMV strives to be recognised for its commitment to Aboriginal and Torres Strait Islander people as having their rightful place in the Church and the wider community. Inspired by the Gospel, we are committed to the dignity of each person, to open hospitality, and to be a place of connection for Aboriginal Catholics.

Based at the ACMV Centre in Thornbury, this role offers an opportunity to bring strong administrative and organisational skills to a ministry centred on faith, culture, community, hospitality and reconciliation.

Summary:

The Administration Assistant plays an important role in the day-to-day life and operation of Aboriginal Catholic Ministry Victoria, providing administrative and operational support to the Coordinator and Engagement Officer and helping to ensure the ACMV Centre is a welcoming, culturally safe and spiritually supportive place.

Alongside general administration, the role supports ACMV’s engagement and connection with Aboriginal and Torres Strait Islander Catholics across the Archdiocese of Melbourne and wider Victoria. The role will engage with a diverse range of people including Aboriginal and Torres Strait Islander community members, teachers, parish leaders and clergy, volunteers, visitors, ACMV partners and Archdiocesan colleagues. We are therefore seeking someone who combines strong administrative capability with warmth, discretion, cultural sensitivity and a genuine commitment to the purpose and mission of ACMV.

Responsibilities:

Provide high-quality administrative support to the ACMV Coordinator and Engagement Officer and contribute to the effective day-to-day operation of the ACMV Centre.
Be a welcoming and professional point of contact for community members, visitors, parishes, schools, volunteers and other ACMV partners.
Manage incoming calls, enquiries and correspondence, providing accurate information and appropriately directing enquiries.
Maintain community contact lists and support the distribution of communications in accordance with Archdiocesan processes.
Assist in organising and coordinating meetings, gatherings, events and other ACMV activities.
Prepare internal communications, correspondence, memos, reports and other administrative documentation as required.
Support the planning and delivery of ACMV Centre initiatives, including Masses, prayer gatherings, workshops, education activities and tours.
Assist the Coordinator with grant submissions and related administrative requirements.
Monitor maintenance matters, record issues and assist with coordinating building services visits to the ACMV Centre.
Ensure that professional standards and safeguarding requirements are incorporated into programs and offerings to ensure the safety, protection and well-being of staff, students, and visitors to ACMV initiatives.
Take reasonable care to protect the health and safety of self, fellow staff and others in the workplace.

What you bring:

You will be an organised, approachable and dependable person who enjoys supporting others and contributing to a welcoming and community-focused environment.
