Job Description

Receptionist-Admin Assistant
Permanent Part-time, 2 days per week (Thursday and Friday)

Reporting to the Office Manager, the Receptionist, together with the other part-time Receptionist, is responsible for general reception and administrative duties at the Congregational Administration Services Centre in North Sydney as well as providing support to the administrative support team.  The role also works closely with the broader North Sydney team and locally based Sisters to ensure excellent hospitality and support is provided. As a first point of contact for the Sisters of Saint Joseph, our receptionists champion a climate of outstanding hospitality and welcome in order to communicate value, inclusion and care to the people we serve. Some out of hours may be required from time to time to meet the requirements of the role.

Founded in 1866 by Saint Mary MacKillop and Fr Julian Tenison Woods, the Sisters of Saint Joseph of the Sacred Heart operates as a registered charity with central offices in Sydney, regional offices across Australia and offices in New Zealand and Ireland and a presence in some other countries.

We are looking for someone who is passionate about providing hospitality and who has a friendly and engaging manner. This role is for 2 days per week, working Thursday and Friday from 8.30 to 4.30pm.

About you:

Ideally, you have experience as a receptionist or administrative assistant and engage well with people from a diverse background. You have experience working in an administrative or support role with intermediate to advanced MS Office skills.

RESPONSIBILITIES

  • Meet and greet visitors.
  • Respond to incoming calls and general queries.
  • Maintain, prepare meetings rooms and serve refreshments (including bookings, set up of room, food service, clean up, some IT assistance, occasional laundry etc.)
  • Open and close Congregational Administration Centre (CAC) building at 9 Mount Street.
  • Manage inventory, ordering, receiving, stocking and invoice reconciliation for stationery, kitchens, cleaning, and catering supplies.
  • Maintain reception manual and telephone directory.
  • Perform administrative duties (including mail, typing and formatting, photocopying, filing, running errands, recordkeeping, proofreading etc.).
  • Work on other administrative projects as requested including mailings, events, travel bookings, invitations, gift preparation etc.

  • Demonstrated experience in providing friendly, welcoming and hospitable service.
  • Well-developed active listening skills with empathy and patience.
  • Team-focused, solution-oriented with a proactive approach to work.
  • Demonstrated ability to be flexible, prioritise daily workload, and move capably between tasks.
  • Excellent attention to detail and organisational skills.
  • Ability to confidently address user support in setting up IT requirements for meetings.
  • Professional discretion and proficiency to deal sensitively with confidential matters.
  • Advanced computer literacy skills (Microsoft Office, especially MS Outlook, MS Word, MS Excel).
