About Sophia Education Ministries
Sophia Education Ministries (Sophia) was established in 2016 to ensure the continued stewardship of the charism, spirituality and educational tradition of the Society of the Sacred Heart of Jesus (the Society) primarily within its network of four Schools in Australia and New Zealand. Guided by the charism and spirituality of the Society, Sophia works collaboratively to support effective governance, leadership and ministry across the school network.
We are seeking an organised and proactive Senior Administration Assistant to provide high-quality administrative and operational support to the Executive Officer, Director of Formation and Mission and Board Committee Chairs.
About the Role
Reporting to the Executive Officer, the Senior Administration Assistant will provide comprehensive administrative and operational support across governance, formation, mission, communications, events and records management.
You will provide day-to-day administrative support to the Executive Officer and Director of Formation and Mission. Support including, but not limited to, maintaining records, preparing draft correspondence and reports, preparing briefing notes, presentations, and news articles, diary management, organising travel arrangements, and managing the workflows between Sophia personnel and Board Committees.
You will work closely with the Executive Officer and Board Committee Chairs to provide administration support in relation to the set up and coordination of Committee meetings, take minutes of meetings, follow up action items, record and maintain governance records and manage the coordination of all logistics arrangements in relation to those meetings.
This is a part-time, ongoing position working 2 days (15.2hours) per week, with flexibility as to how those hours are worked from Monday to Friday. The successful candidate will work from home and ideally be based in Sydney, Melbourne or Brisbane. Some travel will be required from time to time.
About You
We are seeking interest from candidates who would like to share in the mission of Sophia. Ideally, we are interested in people who meet the following Key Requirements:
- Mission-alignment with Sacred Heart values and an appreciation of Catholic identity, governance, formation and ministry.
- Relevant qualifications in administration, governance, business, communications or a related field are desirable.
- Experience supporting senior leaders or committees is highly regarded.
- Competent in Microsoft Office, meeting platforms, electronic filing systems, board portals and basic website or communications tools.
- Proactive, self-starting, organised and able to manage multiple tasks and deadlines.
- Clear written and verbal communicator, with experience in minute taking, writing correspondence and preparing briefing materials.High-level desktop publishing skills, with a proven ability to produce accurate, well-formatted papers, reports and presentations.
